Camera-Ready Submission

A. Camera-Ready Submission Guidelines for CCPIS 2025

All accepted papers for CCPIS 2025 must strictly adhere to the following technical and formatting requirements before final submission:

1. Paper Revision

Authors must revise their paper based on the reviewer comments (if any) available in the Microsoft CMT Portal. No changes should be made beyond those necessary for addressing reviewers' feedback and formatting requirements.

2. IEEE Format Compliance

The final manuscript must be formatted strictly as per the IEEE Conference Template, which is available here. Submissions that do not follow the IEEE template will not be forwarded for publication in IEEE Xplore.

3. Plagiarism Policy

The similarity index (checked using plagiarism detection software) must be within 20% excluding references.
If the similarity exceeds 20% (excluding references), the paper will not be forwarded for publication in IEEE Xplore.

4. Proof reading requirement

Please proof-read your manuscript thoroughly before submission to ensure that it is final and does not require further revision.

5. IEEE Copyright Notice

Include the appropriate IEEE copyright notice at the bottom-left of the footer on the first page only of your manuscript. Use the notice relevant to your case:

  1. For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  2. For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-3779-1/25/$31.00 ©2025 Crown
  3. For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-3779-1/25/$31.00 ©2025 European Union
  4. For all other papers the copyright notice is: 979-8-3315-3779-1/25/$31.00 ©2025 IEEE
6. IEEE PDF eXpress – Camera-Ready Submission Process

After implementing the required changes, authors must generate the final PDF using IEEE PDF eXpress. Follow the steps below:

  1. Visit https://ieee-pdf-express.org/account/Login
  2. For first-time users::
    • Click on "Create account"
    • Use the following credentials:
      • Conference ID: 65231X
      • Your email address and a password of your choice
    • Activate your account via the email verification link.
  3. Login and complete your User Profile (personal information).
  4. On the Dashboard, click "Create New Title" and follow the prompts.
  5. Upload your final manuscript in .doc/.docx format for conversion.
  6. If you receive a formatting error, revise your document and re-upload until the file is converted successfully without error.
  7. Once successful, download the final IEEE-compliant PDF.
7. Final Submission in CMT Portal

B. IEEE Copyright Form (eCF) Submission Procedure – CCPIS 2025

To enable your paper to appear in IEEE Xplore, it is mandatory to transfer copyright to IEEE through the Electronic Copyright Form (eCF) process. Please note that no other mode of copyright transfer is accepted.

Step-by-Step Guide for eCF Submission
  1. Upload the Camera-Ready Paper
    • Ensure that the paper has successfully passed the PDF check via IEEE PDF eXpress.
    • Log in to the Microsoft CMT portal and upload the final Camera Ready paper.
  2. Access the IEEE Copyright Link
    • In the CMT Author Console, under the “Actions” column, click on the link for IEEE Copyright.
    • You will be redirected to the IEEE Copyright Form Submission page.
  3. Redirect to IEEE Portal
    • Click on: "Click here to redirect to the IEEE copyright website"
    • This will open the IEEE eCF portal in a new tab.
  4. Complete the eCF Process
    • Follow the on-screen instructions to complete the copyright transfer. Make sure all the authors are added to CMT.
    • Once the form is completed, a PDF copy of the eCF will be generated.
  5. Save and Rename the eCF PDF
    • Download and save the completed copyright form.
    • Rename the file as: PIDxxxC.pdf (Replace xxx with your paper’s ID from the CMT portal)
  6. Upload the Copyright Form to CMT
    • Return to the CMT portal and upload the renamed PDF file under the appropriate section.

⚠️ Important Notes:

  • A separate eCF is required for each accepted paper.
  • Please ensure that in the eCF all Author names are reflected correctly along with the Paper title. No further modifications can be made.
  • Make sure to retain a personal copy of the completed form for your records.
  • Only the corresponding/submitting author should complete this process.
N.B.:
  • Papers not adhering to these guidelines may be rejected from final publication in IEEE Xplore. For any queries or technical assistance, please contact the organizing committee.
  • Please ensure the eCF submission is completed on or before the specified deadline. Papers without completed copyright transfer will not be considered for publication in IEEE Xplore.
  • It is important to note that the papers that are not presented will not be submitted for publication in the IEEE Xplore Digital Library in accordance with IEEE's No-Show policy.
