Guidelines to prepare Camera Ready Paper using PDF Express and ECopyright Submission

Step 1 - Prepare Your Final Paper
  • Paper must be written in English using the available LaTeX or Microsoft Word templates for A4 format. Formatting may not be altered.
  • Minimum (4) to Maximum (6) number of pages is required per paper in standard IEEE format.
Step 2 - Check your Final Paper
Please double check the information that you provide during online submission:
  • Title of the paper
  • Name, affiliation, e-mail address of the authors
  • Name of the corresponding author
Step 3 - Add Copyright information to the first page of the paper
  • The appropriate copyright notice is to appear on the bottom of the first page of each paper according to the guidelines set forth for an IEEE Conference Publication. When preparing your final paper for submission, please remember to add the applicable copyright notice, found below for this conference, to the bottom of the first page of your final paper in the footer. This step should be completed before creating the PDF of your final paper.
  • The copyright notice is: 979-8-3503-1576-9/23/$31.00 ©2023 IEEE
Step 4 - Check Your Final Paper to find the compliance in IEEE Xplore
  • Use PDF eXpress to verify the PDF file of the paper for IEEE-compliance before submission.
  • Papers that are not IEEE-compliant will not be included in the proceedings nor published.
  • Log in to the IEEE PDF eXpress TM site (Link: https://ieee-pdf-express.org/account/login).
  • Select "Create account". (Already existing users can directly login)
  • Enter the following information:
    • 59145X for the Conference ID.
    • Your email address and a password.
    • Continue to enter information as prompted.
    • An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.
    • Upload your file to convert to pdf format using following steps:
      • For each conference paper, click “Create New Title” button, located in the Dashboard.
      • Enter the title of your submission in the field provided and then click either “Submit PDF for Checking” or “Submit Source File(s) for Conversion”.
      • The next screen will allow you to upload your file.
      • After uploading, you will receive online and email confirmation of the successful upload.
      • You will receive an email with your Checked PDF or IEEE PDF eXpress- converted PDF attached.
      • If you submitted a PDF for Checking, the email will show if your file passed or failed.
      • If PDF is passed, you will find a option "Approve for Collection". Click to complete the process after renaming it as per instruction give below.
      • Never submit a revision to an existing title by clicking “Create New Title”.
    • Revising your submission in the PDF eXpress site (if required):
      • Click on the “Try Again” link for the paper you want to change. Remember that you may submit either a PDF or source file(s), until you reach the maximum PDF Checks/Source File Conversions, for that title. If you reach both maximums for a title, contact PDFSupport@ieee.org.
      • Never Create a New Title for a submission already in the IEEE database!
    • Do not forget to click on "Approve for Collection". Once you click "Approve for Collection", the papers will be automatically accessible by the organizers.
    • Do not send the camera-ready paper to the organizers.
    • Please remember, once you submit the Camera-Ready version, no further modification of the paper is possible. Therefore, it is the final version of the paper, which will be sent to IEEE Xplore for publication.
    • Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
Step 5 - Sign the Copyright Form for each paper
  • If you haven’t already done so, please complete your copyright form. One copyright form is required for each accepted paper. Please log into your Microsoft CMT account where the conference paper was uploaded in order to submit the electronic copyright form.
NOTE:
It is important to note that the papers that are not presented will not be submitted for publication in the IEEE Xplore Digital Library in accordance with IEEE's No-Show policy.
